When you use our services, you trust us with your data. Team Cyclis has a privacy policy that helps you understand what data we collect, why we collect it, and what we do with that data.

What information do we collect about you?

The information we keep on our website depends on exactly what you do with
our website.

  • If you’re not our customer and only visit the public part of the site, we only keep the following data about you: the pages you visit, your IP address, and identification of your browser and computer type. For example: a Telenet customer visited the website using Chrome on a mobile device. Another visitor was a KPN Netherlands customer and used Firefox browser on Windows 10.
  • If your employer is our customer, we also keep your contact, billing, and (for orders) delivery details. We typically receive this information from your employer’s HR department, or you provide it yourself through various forms on our website.
  • Additionally, the website uses cookies that allow us to recognize you on subsequent visits. These are small text files stored on your device that your browser sends with each visit. They contain information such as your preferred language or a unique visitor number that is automatically assigned to you.

Who collects this information about you?

How do we collect this information?

We typically receive your professional contact details from your employer when they become our customer. The information for creating the account is shared directly by you, and thus comes directly from you. By filling out these forms, you give us permission to collect them. The data about which browser and device type you use, as well as the “cookies,” are sent by your browser. We receive the IP address from your computer itself.

Why Do We Collect this Information and how Do We Use it?

For the web application itself, we need this information to create your account, provide you with accurate quotes, and later generate correct invoices. We naturally want to be able to contact our customers if there’s an issue with their account or to provide support.

Additionally, we use certain information (browser, unique identification, number of webpage visits) to improve our site or properly analyze any problems.

The cookies are used to provide the site’s functionality, such as staying logged in or remembering your language choice. The information about your page visits helps us improve the site and analyze and solve possible problems with the web application.

How long do we keep your data?

We don’t keep data longer than necessary. For website visitors, that’s 5 years. We keep customer account data for as long as the law requires us to.

Who Do We Share this Info with?

We use most information ourselves and don’t share it with anyone. Visitor analysis on the public website is done by an external company. They receive your IP address, the identification sent by your browser, an identification cookie, and the pages you visit on our site.

What rights do I have?

The GDPR puts you as an individual at the center and gives you certain rights. You have the right to access the data we keep about you and can have incorrect data corrected. Additionally, you can ask us to delete data and object to the transfer of your data to third parties. If you want to exercise any of these rights, it’s best to contact us by email (privacy@cyclis.be) or in writing.

Through your browser settings, you can delete the “cookies” that identify you. You can also set it to not use cookies at all. However, certain parts of the website or application may not work correctly then.

It’s worth noting that your right to be forgotten doesn’t take precedence over certain legal or contractual obligations. For example, we must be able to contact our customers at any time and comply with Belgian accounting requirements. If you believe your rights have been violated, you can file a complaint with a supervisory authority. For Belgium, that’s the Privacy Commission.

The processor of visitor analysis information is located in the USA and falls under the Privacy Shield arrangement.
