What information do we collect about you?

The information we store on our website depends on your interactions with it.

If you are not a customer and only visit the public section of the site, we store the following information: the pages you visit, your IP address, and an identification of your browser and device type. For example, a Telenet customer visited the website using Chrome on a mobile device. Another visitor was a KPN Netherlands customer using the Firefox browser on Windows 10.

If your employer is our customer, we also store your contact, billing, and (in the case of an order) delivery details. This information is typically provided by your employer’s HR department or directly by you through our website.

Additionally, the website uses cookies that allow us to recognize you during future visits. These are small text files stored on your device and sent by your browser during each visit. They contain information like your preferred language or a unique visitor number automatically assigned to you.

Who collects this information about you?

We, Cyclis Bike Lease NV, collect this information. Our registered office is located at Hendrik van Veldekesingel 39A Bus 1.02, 3500 Hasselt. Our company number is 0544.515.042. The easiest way to contact us about privacy-related matters is by email at privacy@cyclis.be.

As part of insuring bike lease contracts, we work with Belfius Insurance. All information regarding the processing of personal data, purposes of processing, and exercising your rights in this context can be found in the Privacy Charter of Belfius Insurance NV, available at www.belfius.be/privacycharter.

How do we collect this information?

We usually receive your professional contact details from your employer when they become our customer. The information for creating an account is provided directly by you. By filling out these forms, you consent to us collecting this information. Your browser sends us details about the browser and device type you use, as well as cookies. Your computer provides us with the IP address.

Why do we collect this information, and how do we use it?

For the web application itself, we need this information to create your account, provide accurate quotes, and later generate correct invoices. We also want to be able to contact our customers in case of any account issues or to provide support.

In addition, we use certain information (browser, unique identification, the number of times a webpage is visited) to improve our site or correctly analyze and resolve potential problems.

Cookies are used to provide site functionality, such as keeping you logged in or selecting your preferred language. The information about your page visits helps us improve the site on one hand and analyze and resolve potential issues with the web application on the other.

How long do we keep your data?

We do not keep data longer than necessary. For website visitors, this is 5 years. We retain customer account data for as long as legally required.

With whom do we share this information?

Most of the information is primarily used by us and not shared with others. Visitor analysis on the public website is performed by an external company. They receive your IP address, the identification sent by your browser, an identification cookie, and the pages you visit on our site.

What rights do I have?

The GDPR places you at the center as an individual and grants you certain rights. You have the right to access the data we hold about you and correct any inaccuracies. Additionally, you can ask us to delete your data and object to the transfer of your data to third parties. If you wish to exercise any of these rights, the best way is to contact us via email (privacy@cyclis.be) or in writing.

Through your browser settings, you can delete the cookies that identify you. You can also choose not to allow cookies at all. However, please note that certain parts of the website or application may not function correctly in that case.

It is important to note that your right to be forgotten does not override certain legal or contractual obligations. For example, we must always be able to contact our customers and comply with Belgian accounting requirements. If you believe your rights have been violated, you can file a complaint with a supervisory authority. In Belgium, this is the Data Protection Authority, reachable by email at contact@apd-gba.be.
